Vacancy at the Embassy of Iceland in Japan

The Embassy of Iceland in Japan is looking for an Executive and Administrative Assistant.

Work will include, but not limited to, responding to inquiries by e-mail, mail, telephone, and fax. Correspondence regarding maintenance of the Embassy building, vehicle and other maintenance. Handling of schedule and correspondence of the Ambassador and his family.

A large part of the work will also include supervision of Embassy administrative affairs (including but not limited to; executing payments, bookkeeping, expense accounts, scanning of invoices, liaising with outsourced payroll and tax companies, correspondence with Ministry in Iceland on administrative affairs), assistance with travel arrangements, translation and interpretation and general assistance with Embassy matters.

Requirements

Considerable administrative experience (5-10 years).

Good organizational skills.

Strong communications skills.

Fluent Japanese (written and spoken).

Business level English (written and spoken).

Ability to organize multiple projects at same time.

Proficiency in Microsoft Office and aptitude to learn to use other digital tools.

Adaptable team player ready to work on different projects.

*Experience with working in international organizations is a plus but not a requirement.

 

The individual will need to be efficient in managing administration in a fast-paced environment. The successful candidate will need to prioritize with great confidence and apply good project management and communication skills.

 

Candidates must have legal status to work in Japan. Expected annual salary is JPY 5-6 million.

This is a new full-time position at the Embassy of Iceland and is open for hiring as soon as possible.
